Evaluate a collective purchase through legal authority, total cost, quality, member control and exit

This lesson teaches the complete supervised pooling pathway: identify legal/organisational form and jurisdiction, define member purpose and eligibility, authorise funds/contracts/data, specify the good and quality, compare total cost and counterfactual, disclose supplier and organiser conflicts, set contribution/allocation and democratic control, protect complaints and exit, and plan closure. Practice uses fictional terms and no transaction.

What you will produceWith a qualified legal/financial/cooperative facilitator, the learner completes a fictional pooling decision record that compares total cost, quality, distribution, conflicts, liability, member consent, exit and closure against individual purchase.

1 · Permission and limits

Know exactly what you may do

You may

  • Review fictional proposals and ask due-diligence questions.
  • Decline participation and identify missing legal, financial or governance protections.
  • Compare pooled and individual routes without making a savings claim.

Qualified help is required for

  • Creating a club, cooperative, account, contract or transaction; holding money, assets or personal data.
  • Consumer, financial, tax, insurance, procurement, insolvency, fraud and liability advice.
  • Supplier selection, fiduciary decisions and governance for real members.

Never do this from the page alone

  • Collect money, recruit members or contact suppliers from this lesson.
  • Promise savings from volume alone or hide fees, quality changes and unequal risk.
  • Make withdrawal punitive or use majority vote to waive non-negotiable rights.

2 · Get ready

Gather what you need and check the starting conditions

What you need

  • Qualified facilitator and fictional proposal for 20 households to purchase identical desk lamps.
  • Supplied fictional quotes: buying individually costs £40 per certified lamp including individual delivery and returns, so 20 cost £800. The pooled item price is £30 each, advertised as 25% below £40, so items cost £600; pooled delivery is £100 and the non-refundable administration fee is £52, for a £752 total. The pooled offer has one shared delivery and no individual returns. Warranty and accessible-switch specifications otherwise match.
  • Member eligibility, contribution/allocation, conflict, vote, complaint, exit, liability and closure templates.

Before you start

  • Confirm all people, suppliers, prices and contracts are fictional and no money or commitment is made.
  • Identify the qualified jurisdiction-specific advisers that a real scheme would require.
  • Predeclare comparison, quality, distribution and no-deal conditions before reading the headline discount.

3 · The method

Follow these steps in order

  1. Define purpose and members

State the exact item/service, voluntary eligibility, quantity range, period and what the pool will not do.

Why: Pooling without bounded purpose can become an ungoverned institution.

Check: Every fictional member sees the same scope and can decline.

  2. Choose legal/authority route

Identify who may contract, hold funds/data, incur liability and make decisions; mark unresolved legal form as no-deal.

Why: A group chat cannot safely perform fiduciary functions.

Check: The exercise names every authority gap.

  3. Specify quality and need

Write required specifications, accessibility, warranty, delivery, returns and unacceptable substitutions.

Why: A lower unit price can buy a worse or unusable product.

Check: Pooled and individual options are compared on the same requirements.

  4. Calculate total cost

Include price, shipping, fees, tax, administration, storage, failures, returns and time; compare with a realistic counterfactual.

Why: Headline discount is not total value.

Check: Every cost is allocated or marked uncertain.

  5. Map distribution and risk

Show contributions, allocation, who fronts money, who waits, who bears loss and whether low-income or access needs are disadvantaged.

Why: Average savings can hide unequal exposure.

Check: Member-level gains and burdens remain visible.

  6. Check supplier and organiser conflicts

Disclose commissions, relationships, free products, data use and organiser benefits; use independent review or recusal.

Why: Pooling can concentrate market and governance power.

Check: Each supplier or organiser interest has disclosure, recusal or independent review.

  7. Set member control

Define information, vote/consent, reserved decisions, minority protection, records and audit without pretending a fictional vote creates law.

Why: Democratic label alone does not create accountability.

Check: Members can inspect terms before committing.

  8. Design complaint and exit

State cancellation, refund, return, complaint, dispute and withdrawal at each stage, including after a failed order.

Why: Voluntary entry requires an exit path specifying refunds, timing and liability.

Check: No member is trapped by opaque fees or retaliation.

  9. Test failure and closure

Apply supplier failure, defective batch or insufficient-order cards; use escrow/insurance only if legitimately designed, otherwise no-deal and close.

Why: Resilience includes insolvency and closure, not only successful buying.

Check: Funds/data/stock would have accountable destinations or the scheme is rejected.

  10. Issue evidence-bounded verdict

Choose no-deal, seek advice, redesign or provider-approved pilot, stating cost, quality, distribution and unresolved authority.

Why: A pooled option may correctly be worse than individual choice.

Check: The conclusion makes no guaranteed savings claim.

4 · Worked example

See the whole method used once

Scenario

A fictional organiser advertises 25% off desk lamps for 20 households but the pooled quote adds delivery, non-refundable administration and no individual returns.

Walkthrough

  1. Participants specify lamp safety certification, accessible switch, warranty and return requirements before comparing prices.
  2. Total-cost calculation reduces the advertised 25% discount to 6%, while two members would pay before others and bear refund delay.
  3. The organiser discloses a free lamp from the supplier; the facilitator records recusal and independent quote review.
  4. Because individual returns and fund custody remain unresolved, the verdict is no-deal pending qualified legal/consumer review.

Result

The method reveals small uncertain savings, unequal exposure and missing rights, so the fictional pool does not proceed. No real scheme or transaction is created.

5 · Right and wrong

Compare correct or safer execution with the common wrong version

Right and wrong comparison
MomentRight / saferWrong / riskierWhy it matters
Reading priceCompare total cost, quality and counterfactual.Compare only the advertised unit discount and ignore pooled delivery and fees.Fees, returns and changed quality can erase savings.
Holding fundsUse a legitimate authorised structure and advice.Send money to an organiser’s personal account.Informal custody creates fraud, insolvency and accountability risk.
Member controlProvide terms, conflicts, records, dissent and exit.Call one majority vote democratic control.Voting cannot replace rights and informed consent.
Handling failurePlan refunds, complaints, liability and closure.Assume supplier success and member agreement.Failure distribution determines who really bears risk.

6 · Common mistakes

Spot the error and apply the correction

Common mistakes and corrections
MistakeFix
Bulk volume is mistaken for member-level savings.Calculate total member-level cost against a realistic alternative.
Lamp quality and return specifications change between quotes.Lock quality, warranty and accessibility before quotes.
The organiser's supplier benefit is not disclosed.Disclose commission, gifts and data use and apply recusal.
Early contributors bear refund delay that the total hides.Map who advances money and how long funds are at risk.
The pool has no member exit after payment.Define cancellation, returns, dispute and closure before commitment.
Unresolved fund-custody authority is dismissed as paperwork.Treat unresolved contracting/fund/data authority as no-deal.

7 · Practice

Turn the steps into a usable skill

First session

  1. Define fictional purpose, member voluntariness and no-deal conditions.
  2. Specify quality and calculate both quotes’ total cost.
  3. Map member distribution, cash-flow and conflicts.
  4. Review governance, complaints, exit and failure cards.
  5. Write no-deal/redesign/provider-pilot verdict with the facilitator.

Repeat plan

The qualified facilitator may use new fictional quotes after participants can trace cost and rights. Real pooling requires jurisdiction-specific legal, financial and member governance before any recruitment or money.

Progress when

  • Total cost, quality and member-level distribution replace headline discount.
  • Conflicts, custody, liability, complaints and exit are resolved or trigger no-deal.
  • The learner can reject the pool despite apparent scale.

Do not progress when

  • Any real member, supplier, quote, account, money, contract or personal data appears.
  • Legal form, fund custody, consumer rights, liability, tax or independent oversight is unresolved.
  • Participation or exit becomes pressured.

8 · Check the result

Measure what changed

Completeness and distributional quality of one fictional pooling decision

How: Score authority, specifications, total cost, counterfactual, distribution, conflicts, control, complaints, exit, liability and closure; calculate member-level cost ranges.

Good result: A good result resolves every field or produces a clear no-deal and never calls volume alone savings.

This does not prove: It does not establish legal compliance, actual savings, supplier quality, fairness or authority to create a scheme.
